Key Responsibilities:
- Project Management:
o Handle the entire event lifecycle, from planning to execution.
o Identify event goals, timelines, and budgets.
o Oversee event logistics including timelines, schedules, and team coordination. - Lead Generation & Sales:
o Proactively seek out and generate leads for new clients.
o Develop and maintain relationships with clients, vendors, and partners. - Venue & Vendor Management:
o Scout, negotiate, and book venues suitable for different event sizes and types.
o Manage vendor relationships, including catering, audiovisual, decorations, and entertainment. - Accommodation & Transportation:
o Arrange accommodations for guests and team members.
o Coordinate transportation needs for guests, VIPs, and staff. - Budgeting & Cost Management:
o Prepare and manage event budgets.
o Ensure cost-effective solutions while maintaining quality. - On-site Coordination:
o Be the point of contact during events for vendors, clients, and staff.
o Handle last-minute changes and troubleshooting on event days.
Soft Skills:
- Organized & Detail-Oriented:
o Able to keep track of multiple tasks and ensure nothing falls through the cracks. - Strong Communication:
o Excellent verbal and written communication skills to liaise with clients, vendors, and team members. - Problem-Solving:
o Quick thinking and ability to solve issues that come up during event planning and execution. - Client-Focused:
o Understand client needs and ensure their vision is met within the scope and budget. - Negotiation Skills:
o Comfortable negotiating prices and terms with vendors and venues.
Experience and Background:
• Proven experience managing events from start to finish (2+ years preferred).
• A background in hospitality, event management, or project management.
• Ability to work under pressure and handle multiple events simultaneously.
Nice to Have:
• Experience working with event management software or tools.
• A network of reliable vendors and venues is a bonus.
